OSCA  Positions to Fill!

The following are descriptions of positions OSCA needs to fill prior to our next AGM (April2025). We are asking members NOW,  as it would be good to have interested folks shadowing and training this winter.  The Board voted and carried a motion in December 2024 to hire a contract bonded bookkeeper to manage the monthly accounts of the association starting in April of 2025.

Treasurer

 In charge of cash counting, entering information to deposits sheets and forwarding deposit information to bookkeeper.

           Review, code and sign off on all expense reimbursements.  Forward to bookkeeper for payment

           Balance event sheets, reconcile beverage inventory and forward to bookkeeper for entry into QuickBooks.

          Pick up cheques from bookkeeper, sign and distribute 

          Second authorization on all e-transfers prepared by bookkeeper.

           Receive month end reports from bookkeeper and present at the board meeting.

           Custody of the treasurer laptop and email.

          Responsible for cheque book

         Petty Cash disbursement and balance to  the  bookkeeper

         Manage the Hostess, Event, Concession and Bingo Floats

          As Chair of the Adhoc Finance Committee prepare the Annual Budget and present to the Board in February each year.

          Liaison with the Osoyoos Credit Union, monitor term deposits and advise Board of maturing.

         Advise President of renewals and assist in negotiations.

        Keep records and files in office at the center

Bingo Manager

This position differs from Bingo Coordinator.  The Bingo Manager working with the Coordinator is responsible for monthly deposits to the OSCA gaming account, completing the monthly spreadsheet,  paper inventory control, filing the year-end reports to BC Gaming, applying for annual bingo and raffle licenses ,ensuring OSCA is adhering to the BC Gaming Rules and Regulations. This position works with the Bingo Coordinator and the Bookkeeper.  Training and shadowing is available this winter.  This position can be filled by a non-resident member as our busy time is November to April.  Time commitment approximately 4 hours per month.  

Secretary 

This position is responsible for digital and paper filing of all meetings, AGMs, Annual Reports. Key registry, membership lists and memberships emails list. Prepares the Annual Report and ensures the association is in compliance with the BC Societies Act, OSCA By-laws, Policies and Procedures. The secretary prepares the monthly calendar and distributes it electronically.  The secretary assists the President with the board meeting agendas, records and prepares minutes.   Working knowledge of  Microsoft 365, Excel, Word and Adobe 2020 be a benefit. This position has custody of the Secretary laptop. Training and shadowing this winter are recommended.

Media

OSCA  utilizes Mailchimp for its’  Newsletter email database. Also for our website management. Mailchimp is very user friendly. to learn.  We also have a Facebook page sharing to five local community pages.  Events are placed on TimesChronical  and  Castanet community pages.  OSCA has a dedicated YouTube channel for posting videos and slideshows to the website.  This work can be done remotely and training is available.
